Review the whole-trip budget before paying a deposit
The procedure price is only one part of the trip. Start with a planning calculator, then separate confirmed charges from estimates. A clear budget records what is payable, when payment is due and which items are excluded.
- Record the hospital quotation, inclusions and any documented taxes or fees.
- Add flights, accommodation, local transport, meals and any excluded interpreting or support services.
- Note each currency, exchange-rate date, payment method and recipient.
- Consider a reserve for schedule changes or additional services without presenting it as a compulsory charge.
Before paying, request a quotation naming the provider, scope and change or cancellation terms. The website calculator is a planning estimate, not a final quotation. Ask the team to clarify missing items and keep the agreed version.
Connect travel arrangements with follow-up before flying
